Office and Program Assistant

Overview:
Eurasia Foundation (EF), a US non-profit organization promoting civil society development and good governance, is accepting applications for an Office and Program Assistant for the Qadam program. The purpose of Qadam is strengthening civic engagement in Kazakhstan. Office and Program Assistant will be responsible for supporting the Qadam office in filing, reporting, accounting and other program functions. The position will also provide administrative support for the SICA team in Almaty. The position will report to the SICA/Qadam Director of Finance and Administration.
Responsibilities:
• Assist with office administration, program activities, welcome visitors and ensure the smooth functioning of the office in Almaty; • Coordinate with vendors and subcontractors on procurement and the delivery of office goods and services; • Provide inventory of fixed assets, signing of act of acceptance and write – off with colleagues; • Assist accounting department with accounting documents and collecting data for VAT reimbursement; • Work closely with the program staff to ensure that program activities are implemented on schedule and in line with EF policies and procedures; • Facilitate the delivery of trainings, workshops and other events by preparing materials, organizing logistics and liaising with vendors; • Assist with the preparation of written materials, such as invitations, agendas and attendee lists; • Assist with data collection from program beneficiaries to monitor progress towards performance targets; • With guidance from the Technical Leads, draft sections of technical documents, including summaries of key program events, quarterly reports, annual work plans and others; • Other duties as assigned by the management
Qualifications:
• Bachelor's degree in business, finance or related field required • Strong attention to detail • Effective people skills, positive attitude and an overall outgoing disposition • Advanced MS Office experience required • Ability to manage multiple tasks and successfully meet deadlines while quickly producing high-quality products is essential • Excellent oral and written communication skills in English and Kazakh required;
